This Privacy Policy explains how MeetIQ ("MeetIQ", "we", "us", "our") collects, uses, and protects personal data when you use the MeetIQ platform at getmeetiq.com and any related services (the "Service").

1. Who we are
MeetIQ is operated by [MeetIQ Ltd], registered at [REGISTERED ADDRESS]. For data protection purposes, we are the data controller for personal data about you as a user of MeetIQ. For personal data about the contacts and companies you add to MeetIQ, you are the controller and we are the processor acting on your behalf.
2. What data we collect
About you (the user):
- Account information: name, email address, job title, company name
- Authentication data: one-time codes, magic link tokens, session identifiers
- Usage data: features used, pages viewed, actions taken
- Billing data: payment method details processed by our payment provider
- Communication data: support tickets, feedback, messages you send us
- Device and connection data: IP address, browser type, device identifiers, timestamps
About contacts and companies you add or import:
- Contact information: name, email, job title, LinkedIn URL, phone
- Company information: name, domain, industry, headcount, funding stage
- Behavioural signals: website visits (via your installed pixel), email opens/clicks/replies (when Outlook is connected), form submissions, call activity
- Enrichment data: information obtained from third-party enrichment providers (see Subprocessors)
- Notes and activity: notes, logged emails, meeting bookings, deal records
- AI-generated outputs: scores, summaries, recommended actions, generated sequences
Documents you upload:
Files uploaded to your Documents library (PDFs, DOCX, TXT, MD) and their extracted content, processed through AI to inform sequence and recommendation generation.
Call recordings and transcripts you upload:
Stored in encrypted storage, processed by AI to extract insights for your account, never used to train third-party AI models.
Product usage analytics:
We use PostHog to track which features you interact with so we can improve the product. No personal data beyond email is sent to PostHog. You can opt out at Settings → Privacy.
Traffic source attribution:
When a contact is added or engages with the workspace, we record which channel (search, paid ads, social, email, direct, referral, offline) brought them in. Used solely for analytics within your workspace, never shared with third parties.
3. How we use this data
We use personal data to:
- Provide the Service to you
- Improve the Service (analytics, debugging, performance monitoring)
- Communicate with you (transactional emails, product updates, support)
- Process payments and manage your subscription
- Detect, prevent, and respond to fraud, security incidents, and abuse
- Comply with legal obligations
We do not sell personal data to third parties.
We do not use the personal data of your contacts to train any AI model. AI processing on your contact data is done per-request and outputs are returned to you only.
4. Lawful basis for processing (UK/EU users)
We rely on the following lawful bases under UK GDPR and EU GDPR:
- Contract: to deliver the Service you've signed up for
- Legitimate interests: for product analytics, security, fraud prevention, and improving the Service
- Legal obligation: where required by law
- Consent: for non-essential cookies and optional marketing communications
For data about contacts you upload, you are responsible for ensuring you have a lawful basis to process their data. MeetIQ acts as your processor and processes that data only on your documented instructions.

We update this list as we add or change providers. Material changes will be communicated to active subscribers in advance.
6. International transfers
Some subprocessors are located outside the UK and EU. Where data is transferred internationally, we rely on appropriate safeguards such as Standard Contractual Clauses and the UK International Data Transfer Addendum.
7. How long we keep data
- Account data: while your account is active, then up to 12 months after closure
- Contact and company data: while your account is active; deleted within 30 days of account closure
- Call recordings: configurable retention, default 90 days
- Call transcripts: configurable retention, default 12 months
- Billing records: 7 years (UK statutory retention)
- Logs and security data: up to 13 months
- Marketing data: until you unsubscribe, then suppression list only
You can request earlier deletion at any time.
8. Your rights
Depending on where you live, you have rights including:
- Access: get a copy of personal data we hold about you
- Rectification: correct inaccurate data
- Erasure: request deletion (right to be forgotten)
- Restriction: limit how we use your data
- Portability: receive your data in a machine-readable format
- Objection: object to processing based on legitimate interests
- Withdraw consent: where processing is based on consent
- Complain: lodge a complaint with the UK ICO or your local data protection authority

9. Security
We use industry-standard security practices including encryption in transit (TLS), encryption at rest, role-based access controls, audit logging, and regular security reviews. If you become aware of a security issue, please report it to michaelnjoku@getmeet.com.
10. Children
MeetIQ is a B2B product not directed at children under 16. We do not knowingly collect personal data from children.
11. Cookies and tracking
We use essential cookies for authentication and session management. We use PostHog for privacy-respecting product analytics. We do not use advertising cookies or third-party tracking on the app.
12. Changes to this policy
We may update this Privacy Policy. Material changes will be notified to active users by email at least 14 days before they take effect.
